Your team’s CPD records, ready at every renewal date

Each licensed professional keeps their own PACE plan, activities and evidence in PaceTracker. The firm covers the seats. Nobody chases spreadsheets before a renewal date, and the records stay with the person who wrote them.

According to APEGA's September 2026 notice, the revised CPD standard is enforced at each professional's renewal on or after November 1, 2026, and the due date follows each person's renewal month: across a team, deadlines arrive every month.

01How it works for a team

STEP 1

Choose the seats

You open the organization’s account and set the number of seats.

STEP 2

Invite the team

You invite each professional by email from Seats & invites; they open their own account, with their own renewal date and CPD period.

STEP 3

Choose what to share

After joining, each professional chooses what the organization can see: Not shared, Status, Summary or Full record. They can change it at any time.

STEP 4

Plan, log, attach

They build and sign their PACE plan, log activities with written explanations, attach evidence and record their myAPEGA module dates.

STEP 5

Declare with records ready

When the declaration window opens, they download their audit pack and declare in myAPEGA themselves.

03What the firm sees, and what it never sees

Each professional chooses. The firm reads, never edits.

A PACE plan is a personal record of each licensed professional. After joining, each professional picks one of four levels for each organization they belong to, and every level is read-only for the firm. These are the choices, as the professional sees them:

Not shared

The organization sees your name, designation and role, and nothing about your record.

The firm can see

Seen by Organization admins and Responsible Members

  • Your name and designation
  • Your role in the organization (Organization admin, Responsible Member or Member)
  • Your sharing level

The firm never sees

  • Your CPD period and dates
  • Your plan, its status and content
  • Your activities and module dates

Status

Dates, plan status and counts, without any detail. Organization admins and Responsible Members see it.

The firm can see

Everything in Not shared, plus:

Seen by Organization admins and Responsible Members

  • Your current CPD period dates, and the declaration date you recorded
  • Whether your PACE plan is Signed or Draft, its version and signing date
  • How many myAPEGA module dates you recorded, out of the total
  • How many activities you marked complete: in total, technical and other categories
  • The self-check that follows from those counts: Met / Not met · informational

The firm never sees

  • Your plan content and skills
  • Activity titles and details

Summary

Status, plus counts per category and the skills in your signed plan for Responsible Members only.

The firm can see

Everything in Status, plus:

Seen by Responsible Members only

  • Complete activities per competency category
  • The skills in your signed plan, with intent (maintain or develop) and category
  • Your practice area from section 2 of your signed plan (your job title if no practice area is recorded)

The firm never sees

  • The rest of your plan content
  • Activity titles and details

Full record

Summary, plus sections 1, 2 and 4 of your signed plan and your complete activities for Responsible Members only.

The firm can see

Everything in Summary, plus:

Seen by Responsible Members only

  • Sections 1, 2 and 4 of your signed plan (name and designation only from section 1)
  • Your complete activities: title, category, organizer, date and duration
  • A Responsible Member can record a review of your plan; it counts only if you accept it

The firm never sees

Only the items below.

Never shared, at any level

  • Written explanations of your activities
  • Whether an activity was AI-assisted
  • Evidence files and their content
  • Draft activities
  • Your competence self-evaluation (section 3 of your plan)
  • Your email address, phone number and APEGA ID

The competence self-evaluation (section 3 of the PACE plan), written explanations and evidence files are never shared at any level.

Sharing is chosen by each professional, per organization, and can be changed or turned off at any time. Every view of a shared record is logged and visible to the professional.

At any level the organization can ask PaceTracker to send a date reminder; it never contains CPD data.

04Roles

Organization admin

Manages seats, invitations and the organization’s settings, and billing when it starts. Sees the member list at the Status level only, for those who share it, and never a Summary or Full record.

Responsible Member

A licensed professional who keeps their own record. Opens the team overview and each member’s page at the level that professional chose, exports the oversight report, and can record a review of a plan that the professional accepts or declines.

Member

Keeps their own record and chooses what the organization can see, from Not shared to Full record, for each organization they belong to.

APEGA's PACE guideline recommends, without requiring it, that a licensed professional review their PACE plan with a Responsible Member, supervisor, peer or mentor, and states the reviewer is not expected to confirm completion of activities (apega.ca).

05The oversight report

The Responsible Member can export a PDF for the permit holder’s files. It shows at most the Status level for each professional who shares, and nothing for those who do not, with the self-check marked Met / Not met · informational. It is not a compliance verdict, and each export is recorded in the organization’s access log. APEGA's Professional Practice Management Plan practice standard asks permit holders for a process to support the continued competence of the licensed professionals they employ (s. 4.7.2, apega.ca). Each professional's PACE plan remains their own record.

For what APEGA asks of permit holders and Responsible Members about CPD, see the guide APEGA CPD for permit holders and Responsible Members.

06Quick answers

01Can our firm read our engineers’ PACE plans?

Only what each engineer chooses to share. At the Full record level, the Responsible Member can read sections 1, 2 and 4 of the signed plan, read-only. The competence self-evaluation (section 3 of the PACE plan), written explanations and evidence files are never shared at any level. An organization admin never sees more than the Status level.

02Does PaceTracker report to APEGA?

No. PaceTracker is independent and sends nothing to APEGA. Each professional declares in myAPEGA and provides their plan only if APEGA requests it.

03What happens when an engineer leaves the firm?

The seat returns to the firm. The engineer’s records stay theirs, readable and exportable, because the Practice Review Board can ask for plans from past years.

04Is there a minimum number of seats?

Team pricing starts at 10 seats. Below that, each professional can use the individual plan.

05What does the Responsible Member see?

Only what each professional chooses to share, level by level. Status: Dates, plan status and counts, without any detail. Organization admins and Responsible Members see it. Summary: Status, plus counts per category and the skills in your signed plan for Responsible Members only. Full record: Summary, plus sections 1, 2 and 4 of your signed plan and your complete activities for Responsible Members only. Each time someone in the organization opens a Summary or Full record, the professional sees it in their access log.

06Can the firm approve or reject a PACE plan?

No. APEGA does not approve PACE plans and neither does the firm. A Responsible Member can record that they reviewed a plan and found it reasonable, and the professional decides whether that review appears in their record.

07Can an engineer be in more than one organization?

Yes. Each membership has its own sharing choice, so a professional can share a Summary with one organization and choose Not shared for another.

08Does the firm see when I log in or what I upload?

No. The organization sees only the fields of the level each professional chooses, never sign-in times, uploads or evidence files. The access log works the other way: the professional sees each time someone in the organization opens their Summary or Full record.

09What is the oversight report?

A PDF the Responsible Member can export for the permit holder’s files. It shows at most the Status level for each professional who shares, and nothing for those who do not: dates, plan status, module dates and the self-check (Met / Not met · informational). It is not a compliance verdict, and each export is recorded in the organization’s access log.

10What happens to the reminder the firm sends?

It is blind. PaceTracker emails each person in the chosen group that a CPD date is approaching, with no CPD data and without naming who asked. It carries the same unsubscribe link as the other reminders, and people who turned reminders off do not receive it.
